1. REVENUE: Property transfers

  • Transferal of property from an old to the new owner
  • Creation of new property and taxes account for new owner and transferring levies from the old owner’s account to the new owner from the registration date as per the title deeds.
  • Recording journal entries for the reversal of interest on the old account from the registration date.
  • Ensuring all documents are filed in sequence to make it easy to retrieve it.
  • Updating request of new refusal removal on the system as per the information received from the DIEM department.


2. EXPENDITURE: ACCOUNTS PAYABLES

  • Ensuring the requisition form corresponds to the invoice, the order, and the delivery note.
  • Ensuring there are no irregularities by checking the expiry date of the contracts for those which are as per the open tender system or deviation.
  • Reconciling of creditors’ statement with the general ledger account for the supplier and ensuring that there is a follow-up on any errors and omissions between the statement and the general ledger accounts.
  • Ensuring timeous payments are made to service providers.
  • VAT payable/receivable calculation.


3. SUPPLY CHAIN MANAGEMENT: CONTRACT MANAGEMENT

  • Updating of contract register daily to identify contracts which have expired and the new appointments of services providers, in this way it is easy to track all the service providers.
  • Preparing of extension letters and deviation appointment letters for the extensions and deviations whose reports have been approved by the Accounting Officer of the municipality.
  • Sending instruction to the legal department for the preparation of the SLAs and ensuring that they are filed accordingly.
  • Preparation of the monthly/quarterly report for all the activities which have occurred within the month/quarter we are reporting for.
  • Providing expenditure or any other section with the information that they require it.
  • Preparation of the quarterly/annual performance evaluation report on active service providers to track if they perform as per the contract agreement.
  • Ensuring all the extensions and deviations are filed accordingly together with all the supporting documents.


4. SALARIES (EXPENDITURE)

  • Ensuring that the details of the employees are correct.
  • Monthly implementation of changes to be made on salaries, i.e. standby, nightshift allowances, etc.
  • Calculation of PAYE tax.
  • Monthly reporting of schedules.
