  • To assist in the day to day ad-hoc payments, journals and investments at request of Relationship Manager/Officer in terms of procedural guidelines communicated from time to time ensuring proper AIMS codes are allocated.
  • Printing and actioning of reminder payments-while adhering strictly to published procedures for capturing and processing payments both reminder and ad-hoc, thereby ensuring that all payments are effected on time.
  • Attend to the setting up of New Trusts (open the relevant files, register the Matter with SARS, check the validity of the information on the guide sheet and diaries)
  • Collate information for the monthly, quarterly and half yearly reviews on request from the Relationship Manager/Officer.
  • Collate information for the Provisional Tax, income tax and CGT schedules on request from the Relationship manager/Officer.
  • Sorting and compiling vouchers and so forth upon request in respect of all income tax return forms (I12’s & provisional Tax) within SET and SARS’s deadlines.
  • Completing information on IT 12 TR’s as request by the relationship officer, including financial data in respect of Will Trusts.
  • Collate relevant files in preparation of a Termination process on request from Relationship Manager/Offices.

  • Assists with general wills and trust drafting customer enquires (directs the queries appropriately).
  • Attends to office administrative tasks, including but not limited to: keeping the branch telephone list and making it available to staff, e-mailing draft wills, printing and binding of will documents, filing, scanning, timesheet management, switchboard (as requested by manager)
  • Completes ad-hoc requests received from the Manager, Wills and Trust Drafting.
  • Ensures that workstation is clean.
  • Completes prescribed tasks efficiently and timeously.

  • Receives will application forms via e-mail or iDraft.
  • Checks the Chameleon drafting system to verify whether application is a new or an existing will.
  • If new, create a new will record. Ensure duplicate does not exist. If previously joint, now single – create a new will record.
  • If existing, ensure that the will application does not show a rejected status, unexecutable status or is a duplicate, before processing the application form. Rejection status or unexecutable status to be removed before referral to drafting.
  • Checks that all demographical and fee detail information (for example; fee and address detail etc.) on the wills application form is complete. If a review, ensure updated demographical and fee detail information is updated.
  • Captures demographic and banking details information received on the will application accurately onto the Chameleon system. Banking details must be verified on New Delivery System (NDS).
  • Logs onto the New Delivery System (NDS) and searches for the customer record. Determines if the customer is a Standard Bank account holder. If yes, compares the information on NDS and the application form. If information is a match, continue in capturing process, if mis-match – rejection criteria as per GRG applies; or no (i.e. agent bank client), no further action required.
  • Determines if all the other required information is annotated on the application form (refer to rejection criteria according to GRG). If no, capture the application; rejects the application using the rejection R status; and notifies the interviewer of the rejection reason via email (cc S&D Officer). Note: When the interviewer responds and addresses the query, the rejection R status is removed, and the application resumes in the process.
  • Conform to minimum information Policy on Wills GRG
  • Adds record to SB Image.
  • Once the demographic and banking details information is captured onto the system – if it is a complex Will, refer to drafters systemically for further action. If it is a pre-printed / iDraft – finalized by planner Will, complete assets and liabilities section.
  • Ensures that the Chameleon status is on “A” to enable the drafter to proceed.
  • Prioritises urgent applications.
  • Processes all applications received within agreed turnaround times.
  • Updates management on capturing progress daily.
  • Identifies any discrepancies and reports it to the Manager, Wills and Trust Drafting.
  • Reports all system errors to the Manager, Wills and Trust Drafting.
  • Capturing error rates are monitored and recorded.
  • Errors include- Duplication of Wills, Erroneously changing Will statuses, Missing applications (not capturing all assigned work), Missing rejections, Capturing under incorrect consultant, IBT or channel information and/or not SB-Imaging an application form
