Provide professional and accurate Employee Benefit administration with regards to preferred medical aid schemes and the company preferred pension scheme:
Answering phones
Manage and maintain the recruitment and selection
process (Screening, shortlisting and interviews)
Compiling listings of applications for vacancies
Collecting of applications with EE representatives
Offer compilation
Ensure that an accurate sign-on process is followed
Ensure that HR queries are effectively done and
feedback is given
Conducting filing
Ensuring document control and assurance
Ensure application and compliance to company policies,
procedures and legislation (HR related policies and
procedures)
Ensure work is done in a safe and healthy work
environment
Ensure stakeholders and customers are well informed
Ensure there is a free-flow of information
Contribute to saving costs for the company whichever
way possible
Ensure a high level of confidentiality on employee
Information
Responsible for ensuring document control and assurance
Overtime work when required
Capturing and maintaining of employee information on
VIP
System updates (making changes on the VIP system)
Leave Administration and Leave encashments
Reporting HR system queries to the HR Administrator
Ensuring a high level of accuracy and integrity of HR
information and take preventative and corrective measures
when required.
Ensure all necessary documentation for employees is up to
date.
Ensure Administration of Movements, new employees and
terminations is done
Ensuring benefit administration is done efficiently and
communicated to all employees (Correspondence on
disability claims, Termination of service administration
Completion of standard documentation as specified for
input or circulation)
Acting administration
Preparation of letters of appointment and all HR related documents, typing, filing as required
Maintenance of all personnel files. Update information.
Allocation of parking to employees
Administer long service awards
Assist payroll officer with adhoc duties
Co-ordinate the clocking system by loading and removing employees.
Ensure the clocking system is in working order by liaising with the IT department
Ensure employees are well accepted when they start with the company
Employee Induction
Administer paperwork and assist new employees with completing sign-on documents
Recruitment Administration (place advertisements, liaise with agencies, manage portals, set up interviews, reference checks, regretting candidates)
Training Administration (Internal, External, Contractor training, Record keeping on VIP)
Administrative support on projects specific to the HR team.
Ensure confidentiality of information and documentation at all times
Provide auditors with training records regarding audits
