Sales Reports
Execute, download, and compile sales reports (DAILY, WEEKLY, MTD & YTD, BOY) from the systems (Mosaic & Cognos 9.3 -in-house program) into specific files- (total product sold, Target vs LY, % growth, returns and deficit.)
Distribute sales information to the sales reps, management, and other departments.
Make sure that annual target is loaded and distributed to specific departments.
Assist the sales team with all administration and customer support aspects.
Specific requested reports – SKU report VS LY/target.
Change of customer geographical info
Customer performance reviews e.g., sales vs LY
Maintain and update Customer information.
Load new customers on the system.
Route allocation (ensuring reps are linked to correct routes and codes)
Maintain master data (close accounts that ate inactive, delete duplicated customers)
Load and code new sales reps/supervisors/managers.
Adjusting sales drivers product order limits per day

Sales Orders/requisitions- (promotional items, stationery, uniforms and point of sale material etc.).
Requesting quotations from suppliers and getting approval from HOD
Generate purchasing orders and send approved PO to suppliers.
Receiving of ordered products.
GRV/receipt of Tax invoices
Send the relevant documents to accounts payable team for payments.
Liase with accounts department on invoice queries
Follow up on payments and feedback to supplier.
Follow up on late deliveries.
Run monthly reports to close any outstanding/incomplete/unapproved POs.
Weekly budget sales marketing reports (using correct GL code) (how much was spent on what, exceeded/saved) (keeping stock purchasing within budget)
Ensure the uninterrupted availability of stock.
Evaluating vendors and suppliers offers and negotiating profitable purchase prices.
Administration
Photocopying and distribution of new price lists for the sales team.
Ensuring printers have paper and cartridges.
Minutes - (Setting out meeting agenda, taking notes in sales meetings, typing out minutes of sales meetings and circulating to sales staff)
Answer telephone, take messages and direct to relevant staff.
File and label all sales documentation.
Attend to customer complaints (What, Where When and solution)
Drivers Interviews - (Organizing of food packs per rep per route daily, reporting to Finance on how much was spent weekly. Have 120 routes)
Promotions - (Tracking sales promotions daily, so that they don't collide within reps e.g., Bookings of Promo bile truck on specific rep's routes)
Taking orders telephonically
Pre-invoice of orders
Make sure all driver bulk and standing orders are placed.

Bar coding & recording of codes.
