  • Purchasing goods and services by capturing requisitions on LOGIS, verifying transactions, generating orders, and mailing signed orders to service providers.

Acquisition (SCM)

  • Receive a request for procurement from the supervisor, check the completeness of documents, and scrutinize the terms of reference/specifications for compliance with SCM principles and thresholds.
  • Enforce compliance in terms of supply chain management policies and prescripts.
  • Invite price quotations for goods, services, and work required by an official in accordance with an approved TOR/specification, ensuring that the National Treasury-approved database is utilized effectively in the sourcing of quotations, and that client expectations are met.
  • Chair evaluation meetings of proposals to ensure that the process is fair, and compile final scores for all proposals.
  • Once the selection process has been concluded, liaise with an official to sign off on the winning quote, prepare the file with all the required documents, and send it off to the order section for generating the purchase order.
  • Implement an effective document control and filing system, and work closely with the supervisor to ensure that the procurement of goods and services is compliant and fair.

Payments (Financial Accounting)

  • Accurately create new entities from a standard list of default entity types on the BAS system, ensuring that banking details are correct.
  • Capture payments, including transfer payments, on BAS.
  • Do interface reconciliation. Assist with verifying acting allowance calculations for officials acting in positions. Assist with filing to avoid backlog.

  • Send out instructions to bill vendors with correctly specified amounts to the Debtors Department on time, to ensure early payment.
