  • Daily maintain and setting supplier invoices up for weekly payment runs (payment schedule)

  • Uploading creditors invoices into system (Sage)
  • Weekly or on request - reconcile supplier accounts and age analysis
  • Daily or on request preparing quotes, invoices, credit notes and statements (Debtors)
  • Daily preparing purchase orders
  • Weekly or On request - monitor accounts to ensure payments are up to date and following up on outstanding invoices and statements
  • Correspond with the team or direclty with suppliers and respond to inquiries
  • Daily provide accounting and clerical support to the accounting department (maintaining accounting records)
  • On request - Research and resolve invoice discrepancies and issues
  • Weekly - process staff petty cash claims expense claim and recording receipts for payment
  • Weekly or on request creditor recons & queries
  • Daily checking if all the invoices received align with the SARS requirements in case the invoice is picked for SARS audit purposes.

  • Creating new project codes
  • Ad-hoc tasks as requested by Accountants & Assisting the Accountants with financial tasks
  • Quarterly compiling the BEE supplier spent report
  • Any other general administration relating to the finance department
  • Yearly submit return of earningd to obtain the new Letter of Good Standing
  • Updating Broll Vantage system with any documents that have expired
  • Processing Overseas payments
  • Complete credit application forms
  • Preparing creditors statements for end of year aduit.

Office Administration

  • Monthly - recording travel for invoicing
  • Maintaining the companies fleet (traffic fines, licence disk, roadworthy ect)
  • Undertake additional specific tasks,as assigned by Miles,Lindy & Tim
  • Maintaining municipal accounts
  • On request completing general paperwork vehicle finance applications, vendor forms, insurance, car registration and licensing
  • Updating and maintaining internal confidential documents for all the compaines & Directors and ensure that all confidential material is stored according to policies and procedures
  • Monthly or on request process upgrades and managing service providers eg Vodacom, Mtn, Tracker, Telkom Insurance and dealing with any issues related to the accounts.
  • Monthly - checking and collecting post from the post box
  • A channel of communication for internal documents
  • Occasionally - Booking flights, accommodation and rental cars (when Shanna is not available)
  • Occasionally - Assist colleagues whenever necessary(finance and office) and Occasionally - Supporting the reception desk
