Assist HR managers in taking minutes during disciplinary hearings, HR meetings and at any other relevant meetings.
• Ensure that the minutes of meetings are distributed to relevant stakeholder timeously.
• Assist with employee absence management by identifying, trending, and reporting on causes of absentiseem.
• Assist with various HR projects e.g., audits, HR event coordination, etc.
• Assist with completion of any HR adhoc report as required by management.
• Ensure that associate files and records are kept up-to-date and secure while dealing with confidential records with integrity and tact.
• To maintain a file of job descriptions or specification.
Keep organograms of departments within own division updated when as and when changes occur.
• Contribute people related news to provide for internal communication.
• Attend MDW meetings to provide shopfloor teams with feedback on HR matters.
• Schedule and coordinate employee feedback and focused group sessions.
• Partner with HRD officer and HR Manager to give feedback to wage employees on engagement survey.
• Partner with HRD officer to prepare for engagement survey focused group sessions.
• Market the HR department by visible on the shopfloor and promote the Company’s values and code of ethics.
· Receive and process staff requisitions (MEA’s) from respective managers.
· Compile vacancy advertisements using the standard Smiths template.
· Prepare for interviews by compiling appropriate interview guides with hiring managers, conducting shortlist of potential candidates, pre-screening of applicants, and compiling relevant paperwork to be used by panel members.
· Represent HR in panel interviews and oversee selection processes to ensure fairness, consistency, and efficiency.
· Partner with hiring managers to select suitable candidates to close vacancies in own division.
Provide feedback to interviewees.
