• Liaising with the Chairperson to plan meetings
• Ensuring meetings are effectively organized and minuted
• Maintaining the secretary’s role at meetings and the university’s parliament
• Responding to all committee correspondence
• Ensuring the student representative elections are in line with stipulated procedures
• Reporting the activities of the societies and future programs to members, the student governance & the management of the university

• Managing the budget
• Preparing financial reports & financial statements
• Conducting financial transactions
• Ensuring compliance with financial regulations and laws
• Using accounting software
• Monthly reports & end-of-year reporting
• Bank reconciliation

• Capturing, distributing, and storing society database
• Creating new templates and collecting reports from different departments
• Organizing meetings and taking detailed notes
• Answer phone calls and emails and take messages
• Organizing events and conferences
• Booking and arranging travel, transport, and accommodation
• Help with daily time management

• Performing clerical duties
• Liaising with assigned stakeholders such as students and departmental or faculty staff members
• Assisting students with requests regarding to their studies
• Capturing faculty financial expenses and faculty bursary funds
• Internal Verification Process: Verifying students marks for the department and mark auditing
• Assist with executing action items for various projects, meetings and events
