To ensure that the resources acquired to support the strategic objectives of the department are delivered at the right place, at the correct time, at the right price and at the right place in the right quantity and quality that will satisfy the need and to help with the general admin duties.
Evaluation and approval of quotations.
Requesting quotations from suppliers in terms of treasury requirements.
Filling and registration of incoming and outgoing RFQ’s.
Assisting with the general administrational duties.
Teach end-users how to compile requisitions.
Assist end-users telephonically on JYP related issues.
Processing of goods and services requisitions.
Ensure that data given complies with the supply chain policies.
Creating of requisitions on JYP, sourcing of quotations.
Conduct follow ups on outstanding orders.
Perform goods receipting on JYP.
Maintain register of all invoices received and tracking thereof.
Assist with the evaluation of quotations.
Upon receiving requisitions, verify all documents are in order and record keeping of requisitions on register.
Ensure that all procurements are within respective delegation authorities.
Capturing and Approving Invoices for government.
Submitting the procurement plan to Internal Audit and National Treasury.
Creating goods Received Notes.
Capturing and Approval of Invoices.
Creating and Approving Creditors Payment Advices.
Verify VAT registration on SARS.
Doing compliance checks on all companies wanting to do business with the government.
Linking suppliers, commodities and responsibilities.
Assisting with Audits of the Department Of Justice.
Responsible for preparation of trip authorities for outgoing cars.
Maintaining & update trip authority register on a daily basis. Doing monthly returns for all GG vehicles. Arranging bookings for servicing of cars when need arises.
Ensure that disk, fuel cards are still valid.
Ensure that all official drivers must in position of a valid driver’s licence longer than six months.
Conduct the management of assets within the office.
Barcoding of newly procured assets, conduct assets verification on quarterly basis; capturing the acquired assets information on Justice Yellow Page (JYP) to update and maintain the assets register of the Department.
Responsible for assets movement- both internal and external movements.
Conduct the disposal of redundant assets.
Receive invoices & make Sundry Payments and paying using BAS) manually & electronically on the JYP system.
Do the procurement for the stationary store by requesting for quotations.
Deliver urgent and confidential documents to national treasury when the need arises such as the Review of the Demand Plan.
Ensuring that all my colleagues have sufficient stationary to carry out their daily official duties.
Assist end-users by re-activating their CSD accounts if they have forgot their passwords or need to know of any function CSD offers.
Assist in recovering documents and maintaining vault.
Assist as observer or counter when doing stock take.
Appointed as health and safety representative.
Control activities such as: parking space allocation; building security; waste disposal.
Manage the upkeep equipment and supplies to meet health and safety standard.
Managing the building repairs: lifts, air-conditions, doors, electrical plugs, lights, urinals.
Ensuring compliance with security and safety regulations.
