I am an Assistant Librarian with years of considerable experience and expertise in librarianship as well as Administrative duties. The LIC post has been vacant for a long time, which required me to step up and assist the Librarian with duties of every day running of the facility. I am an honest, energetic, dependable individual who always strives for perfection in everything I do. My calm and friendly personality has repeatedly made me the most eligible candidate for most programmes or projects. I am passionate about sourcing information and teaching users how to find information by using various available resources. I am also able to multi-manage various tasks at once. I believe my natural flair for customer service, along with my proficiency in handling both technological and physical resources in a library will make me a valuable candidate.

GENERAL FUNCTIONS / ADMINISTRATIVE DUTIES

  • General Administration and Processes
  • Keep an MS Word database of programmes executed for the month with all required information; assist the LIC by capturing actuals/ statistics on SharePoint
  • Assist LIC with writing reports for quarterly inputs into quarterly Sub-council reports
  • Ensure that all revenant inputs and documents are in the relevant files
  • Provide a frontline service; Answer calls, liaise with the public, respond to telephonic queries
  • Respond to email queries and provide required information
  • Arrange meetings on behalf of LIC; do the hall booking; consult with the LIC and prepare the agenda; send out meeting requests; ensure there is an attendance register for in-person meetings; take notes during meeting; type up draft minutes for LIC / Librarian’s attention; send approved minutes and attendance register to the attendees.
  • Liaise with local and departmental stakeholders when arranging programmes
  • Draw ETG reading monthly and submit to Area South Admin Officer
  • Register new members by assisting them with completing the application form and doing the online application on the system
  • Assist with reservations and ILL, including: Use Symphony/ Google to find all relevant information on the required item; assist with the completion of the form/ request; logging the request; contacting the housing library to ensure the item is available; arrange for transfer; contact the couriers to arrange deliver
  • Monitor the stationery, refreshments and cleaning materials; inform LIC or Librarian when stock is running low, so that orders can be placed
  • Contact/ liaise with the courier service for the delivery of Stores items
  • OHASA Fire Marshal for the facility; conduct monthly inspection of fire equipment and report back to the OHASA Rep; monitor fire equipment service dates and keep LIC/ Rep informed; participate in fire drills; ensure compliance with the OHASA act for all Fire Marshall related functions
  • Cash Management
  • Receipting and reconciling payments as per cash management policy: Complete required documentation; upload daily cash information on SharePoint; capture monthly cash collection information on SharePoint
  • Preparing transactional documentation (bank deposit slips, etc.)
  • Ensure accurate filing and record keeping of cash related documents for auditing purposes
