Register, capture, update, control and maintain People and Performance
data
• Ensure data is captured accurately to facilitate availability of
information
• File and scan documentation on SAP system and manage archive system
• Follow standardized data input and ensure databases are according to
procedural standards
• Conduct quality checks on documentation and system
• Always maintain confidentiality around all documents
• Execute responsibilities in a manner that is in accordance to
guidelines and standards
• Ensure compliance to applicable policies, processes, procedures and
applicable statutory laws and regulations
• Address discrepancies and unlawful practices by reporting to the
manager
• Ensure that all data captured is in alignment with the P&P
standards and guidelines
• Maintain relationships with both internal and external customers, with
a client centric focus
• Attend to customer requests and complaints, needs and challenges
• Keep customers informed of progress on P&P queries
• Escalate any problems that may lead to delay in the delivery of P&P
services
• Build effective relationships with own team and ensure P&P service
Deliver
• Facilitate timely resolution of general employee queries and advise
employees on resolutions for more complex P&P issues
• Record and refer written grievances to Line Managers as per grievance
procedure and ensure that Business partner is informed
• Complete grievance files and disciplinary enquiry records and
maintain records on the system
• Keep system updated regarding progress on grievances and disciplinary
actions
• Ensure compliance and adherence to conditions of employment in terms
of employee benefits and share schemes
• Assist with basic disciplinary cases in collaboration with P&P
Practitioner/Employee Relations (ER) and line management
• Complete data admin for PA/PY processes
• Give administrative support with regards to training/formal studies
and P&P data management
• Use P&P technology/systems to extract relevant data
• Ensure data correctness and quality of P&P master data during input
on relevant systems
• Capture all staff changes on relevant systems
• Compile meaningful P&P reports through interpretation
comparisons/trend
analyses
• Support the employee separation process and procedures (e.g.
resignation, retirement, retrenchment, dismissal, ill health, death and
incapacity) through data administration
• Coordinate employee movement processes and procedures (e.g. employee
transfers, promotions, redeployment, and rotation) and confirm with
relevant third parties (e.g. Buy Aid, Housing) for any outstanding fees
owed by employees during termination of service.
• Liaise with Payroll and Systems Administration to ensure smooth
onboarding changes in employee status
Medical Scheme and Pension Fund Administration
• Ensure all employees belong to a pension and medical aid as per
conditions of employment
• Liaise with pension fund and medical aid schemes when amendments are
requested by employees
• Assist with end-to-end recruitment process in collaboration with P&P
Practitioner/ Business Partner
• Complete relevant engagements documents for new employees
• Accurate and complete capturing of relevant engagements documents on
SAP to ensure an error free payroll.
• Responsible for relocation administration
• Assist with selection process, in collaboration with the P&P Business
Partner and Practitioner
• Escalate any deviations and discrepancies to your supervisor
