  • Ensuring that the maintenance inspector has the vacating schedule in order to arrange for the outgoing inspection to be conducted
  • Ensuring vacating maintenance is debited to the tenants account prior to the deposit refund
  • Deal with all tenant queries
  • Receive and process notices received from the tenant and advise the owner of same
  • Deal with telephone and walk in enquiries when required
  • Authorize deposit refunds
  • Check and sign all new lease agreements on behalf of the landlord
  • Load electricity and any other recovery amounts on the tenants’ rental accounts send out rental statements
  • Ensure that the owners and tenants receive copies of the lease agreements
  • Conduct account adjustments when necessary on WeConnectU
  • Monitor arrears with credit controller and ensure that correct collection action is being taken
  • Help staff with any queries they have and correct any errors they have made
  • Have regular administration meetings and attend marketing meetings
  • Do consistent checks to ensure that Letting Agents are keeping the website updated and correct
  • Be of general assistance to staff
  • Close and adjust the accounts when tenants vacate
  • Check and correct all narrations on WeConnectU weekly To ensure that GL codes all are correct
  • Report on business loss / gained every month
  • Documentation management – invoice control
  • Management of maintenance inspector, letting agents and letting administrators ensure deadlines are met
  • Management of individual and team performance requirements
  • Attaining 24-hour turnaround time (deadlines) and retaining top class service delivery with the 1st time right approach
