• Welcoming clients, dealing with walk-in clients
• Schedule site visits and manage calendars of site managers.
• Creating and updating site progress WhatsApp groups.
• Answer phone calls, emails and take messages.
• Draft correspondence, such as emails and WhatsApp messages.
• Sending out pricelist and brochures to new prospective clients.
• Provide basic and accurate information in person and telephonically to new and existing clients.
• Liaise directly with new clients on site visits and quote acceptances.
• Liaise directly with existing clients on plans submissions and site progress. • Followed up with clients on quotes sent out.
• Confirmed site visit appointments with new potential clients.
• Handling and maintaining of confidential and sensitive information.
• Drafting and sending Quotations (Quick Books system).
• Documentation preparation and submission (hardcopy and online) on City of Cape Town DAMS system
• Submission of Swimming Pool Plans on the City of Cape Town DAMS system.
• Submission of warranty claims to suppliers.
• Sending clients their product warranty information via a third-party website.
• Drafting of documents on Microsoft Word.
• Creating spreadsheets on Microsoft Excel.
• Filing of daily invoices to be submitted to bookkeeper.
• Placing company logos on photos used for company advertising. Photos taken by site managers.
• Taking pictures of swimming pool installations, using his own program, places company logos on photos used for company advertising.
• General office assistance required by the company staff.
