  • Background
  • Multiple analysis has been conducted to understand the new warehouse facility being open in Thekweni, the facility was designated as a secondary hub where only chilled stock is held supplying to the main hub
  • Analysis on moving cost, warehouse layout designs, facility pre-cooling and staffing
  • As a result of an increased volume at Vector Thekweni and Siqalo intake, there was a need for expansion to accommodate the increase on volume
  • Due to timeframe on expansion the decision to hire a new facility was opted for
  • There was a requirement to prepare the facility in terms of redesigning of the warehouse layout, racking design, facility temp checks, moving stock between main hub and new hub and identifying the cost of transport legs required to move stock
  • The exercise included not only the facility set up, but also the after service
  • Looking at how the process will work since both chilled stock in the new facility and frozen stored in the main hub will still be delivered together in one multi-temp vehicles
  • How many trucks will be needed daily, when to collect stock and X-dock to the main hub, how the loading at the main hub will proceed, all this should consider cost
  • Responsibilities:
  • Gather data on fleet requirement for moving stock before go-live and after
  • Communicating with relevant stakeholder during the facility set-up
  • Facilitate the planning of routes and ETA of trucks to the main hub
  • Aligning the cross-dock plan with the secondary transport plan
  • Outcome: Project is a success; it is still in use
  • Continuous improvement was done on the project and flexible on suggestions that made the project a success
  • Vector Chat App
  • Contextual customers and routes to a third-party distributor to distribute to those customers
  • Project System Driven Checking: Being the first project in Vector, I was just learning and understanding the processes and procedure to be followed when a system driven checking was introduced
  • The task was to identify all the loopholes and report back checking team was following the right processes
  • One Transport: Project was aimed to use both primary and secondary vehicles to avoid empty legs, I have been involved in execution phase of the project
  • PNP Cross-docking: involved from the initiation, planning, execution and closure, project was successful execute
  • Labour Optimisation: Involved in a labour optimisation project, idea of the project is to ensure we have right number of staff to perform daily duties to optimum
  • Due to the gap in real-time communication between sales team, drivers, customers, and transport expeditors
  • Vector chat is used to keep communication on-going between the three stakeholders on real-time
  • Responsibilities:
  • Communicating the vector chat idea to the drivers, expeditors, and sales team
  • Facilitating and training stakeholders on the use of the chat app
  • Communicating with IT developers on continuous improvement based on feedback from users
  • Maintenance and setting up of a device room, where all devices are stored
  • Outcome: Project was well received, many stakeholders happy with the real-time feedback on day-to-day operations and improved customer experience
  • Project went live and still running
  • EPOD (Electronic Proof of Payment)
  • Purpose of the EPOD is to eliminate waste and reduce paperwork, providing customers with immediate proof of delivery (POD)
  • The task was to improve efficiency, reduce paperwork, fast track payment and being environmental conscious
  • Responsibilities:
  • Conducting training with transport team
  • Converse with IT team and other stakeholders on product improvement
  • Coordinating all the after go-live issues, random customer visit to understand the complexity on drivers and customers understanding on the device and its navigation
  • Outcome: Project is a success and rolled-out nationally, both customers, hubs, transport departments, drivers are using the app
  • Project Handling Units
  • In order to improve customer estimated time-of-arrival (ETA) and high backdoor turn-around-times (TAT), Handling units were introduced
  • The system is used to improve customer experience, cost reduction and improved stock handling
  • Responsibilities:
  • Analysing truck utilisation and footprint
  • Analysis of backdoor TAT and updating Opsi master data
  • Reporting system findings to the executives on system improvement
  • Communicating with logistics manager on the requirements of trucks and costs
  • Training the planning team on how to update master data on Opsi and calculating accurate truck footprint
  • Outcome: Project is a success with lot of buy-in nationally, HU being used in all hubs at Vector logistics
  • Project GDS:
  • Since Vector logistics have multiple customers in every corner of the country, in KZN we have customers scattered across the province, from far North KZN to far South of KZN
  • Project GDS was aimed reduce transport legs that were far out by giving them to the 3rd party distributor
  • We were daily picking stock from our main hub and cross-dock to the selected 3rd party supplier, all identified customers were aligned with the 3rd party’s customer’s nominated day of delivery (NDD)
  • The cost of using the 3rd party was cheaper than us sending our trucks to those far designated customers
  • Responsibilities:
  • Gathering data on customer NOD/NDD and aligning them to those of 3rd party
  • Liaising with the 3rd party distributor on customer deliveries, returns on trade and other related issues
  • Present to the transport execution manager and sales executive on progress and saving potentials
  • Outcome: Increased cost saving, potential to expand to other provinces, project stand to be reviewed for best customer experience and not only focused on cost saving initiative,
  • Project System Driven Checking
  • To improve accuracy on checking, system driven checking was introduced
  • The process is designed to use RF scanners to check all the shipments
  • For every shipment and HU picked, checker will scan the weight for both pallets and stock, depending on the picking accuracy and master data accuracy, the pallets will other pass the scan or fail
  • However, if the pallet fails there are other steps in place that the checker should explore to ensure accuracy
  • These processes put in place are mainly designed to ensure accuracy, reduce stock loss, and avoid sending customer’s wrong stock and drop on both branch service level (BSL) and delivery service level (DSL)
  • Responsibilities:
  • Gathering data on the product master data
  • Coordinating and training the scanning and checking process
  • Analysing data on picking errors and checking error compared to before go-live
  • Analysing data on customer complaints and reverse logistics percentile
  • Outcome: Project is a success have been running for some years with great view on all errors necessary
  • Improved cost savings and stock-loss reduction
  • One Transport
  • Vector Logistics uses their own transport and also outsource other trucks to do the big loads and plan based cold storage (PBCS) legs
  • To reduce 3rd party hiring cost we decided to make use of our own truck in KZN to that have routes that passes PBCS daily to collect any stock that needs to be sent to the main holding hub in Thekweni
  • The idea behind the project was a great cost saving initiative
  • Reducing both hiring cost and empty legs on our own fleet made a great financial sense and could save the business millions of Rands annually
  • Planning and synchronisation of routes
  • Leading the expediting of all deliveries
  • Communicating times slots for both hubs
  • Outcome: The project didn’t last long, with reasons being the delayed on our truck to the PBCS could results to missed slots at the main hub, increased over time to the loading and offloading team at both hubs when trucks are delayed at customers
