
Executive Support & Administration:Diary & Inbox Management: Organizing, planning, and managing the GM’s calendar, appointments, and email correspondence to maximize productivity.
Meeting Coordination: Scheduling, organizing, and facilitating internal and external meetings, workshops, and site visits.
Documentation & Reporting: Drafting, editing, and formatting reports, presentations, agendas, and minutes for the infrastructure team.
Records Management: Maintaining and updating electronic document management systems (e.g., in local government contexts).
Operational & Infrastructure Project Support:Project Monitoring: Tracking project milestones, deadlines, and key performance indicators (KPIs) to ensure projects are delivered on time.
Financial Administration: Assisting with budget preparation, expense tracking, and monitoring compliance with financial delegations.
Contractor & Vendor Liaison: Coordinating with contractors and service providers for infrastructure-related tasks.
Site Visit Coordination: Assisting with the logistics for site inspections.
Communication & Stakeholder Liaison:Internal Communication: Serving as a primary point of contact between the GM and the broader team or other departments.
External Stakeholder Engagement: Managing communications with external stakeholders, including government bodies, contractors, and the public.
