I started at this company in the position of PA to the Sales and Marketing Director, with collaborative duties for the other Directors and Shareholders in the business, the position grew to included various tender and costing duties, including all shipping (import and export functions, including foreign accounts.
Core Duties:
Manage the executive's calendar, schedule appointments, and coordinate meetings.
Arrange travel, accommodations, passports, visas and foreign currency as required.
Screen phone calls and emails and respond on behalf of the executive as needed.
Prepare documents, reports, and presentations for meetings and events.
Conduct research and gather information as requested.
Act as a liaison between the executive and internal and external stakeholders.
Maintain confidentiality and handle sensitive information with discretion.
Manage contacts for the executive and the company contact database.
Assist in preparing and managing presentations.
Be responsive to emails and phone calls, with contact outside normal business hours
Use discretion, confidentiality, and good judgment to handle High Level matters.

Manage company IT suppliers to ensure continuous online, along with website and systems suppliers
Sales Support Duties:
Sales Staff Performance (collating data, generating reports c/w graphs, distribution of reports).
Specification Companies (monitor activities, distribute leads internally and follow-up, process feedback reports, point of contact in respect of brochures, samples, presentations, training, manufacturer's appointments).
Foreign Tenders (Architectural Cladding), prepare tender documents as required, prepare drawing take-offs for material requirements, confirm material pricing, complete project costings for final review by the relevant director.
Issue of Product Guarantees when required (maintain schedules and guarantee expiry dates)
Financial Support Duties:
Foreign incoming and outgoing funds, prepare all documents required by the bank, for processing of incoming and outgoing funds.
All foreign invoicing, statements and account recons.
Bank Performance guarantees (apply, maintain and cancel)
Directors credit card reconciliation, credit limits and expense reports
