Key Responsibilities:
1. Recruitment and Selection
○ arranging advertisements,
○ screening responses,
○ arranging interviews,
○ finalizing reference and criminal checks,
○ regretting unsuccessful candidates and any additional requirements with regards to the recruitment process.
○ Analyzing and compiling the vacancy list
○ Conduct exit interviews
2. Employee Records Management
○ Ensure all employee files both digitally and physically are kept safe, up to date and contain all the records required as per the POPPIA requirements.
○ Ensure all onboarding documentation has been captured, policies signed, induction program's completed.
○ Maintain accurate leave management records
3. Administration and Reports
○ Preparing and handling all incoming and outgoing correspondence,
documentation relating to the HR Function.
○ Compile and coordinate monthly HR reports for management reporting
○ Ensure that time and attendance records are updated, communicated to ensure timeous delivery of timesheets for payroll purposes.
4. Industrial Relations
○ Ensure that all disciplinary warnings, grievances etc have been communicated, and returned to place on the employees file.
○ Support by sending meeting invitations and arranging venues, etc. ○ Maintain minutes of relevant meetings.
○ Track IR incidents through tracking sheet
5. OHASA and Incident Reporting
○ To maintain all records and incident reporting as required.
○ Track all OHASA incidents
6. Training and Development
○ Maintain the training calendar and room bookings
○ Venue set ups, room bookings, printing is completed and attendance registers are kept.
○ Support with powerpoint slides or learning material as communicated by the HR organizer.
7. Communication
○ Ability to work to deadlines, have high levels of drive and initiative, and have insight – to perceive patterns and detail below the surface
○ Have excellent communication skills, and to be able to convey knowledge and interact effectively with people at all levels within the organization
○ Manage confidential information with utmost discretion and integrity
○ Responsible for weekly employee newsletter/priorities & distribution on appropriate channels.
