  • License Renewals: Renewal of licenses for approximately 1,000 vehicles, application for lost licenses, application for duplicate registration certificates where required, application for deregistration certificates, and monthly reconciliations for the licenses.
  • Asset registers: Receiving asset register reports, correcting the asset register regularly, conducting the internal transfer of equipment for funeral branches, ensuring all written-off furniture and equipment are removed from the asset register, annual control of the asset register, recording, keeping, and placement of assets, and opening new assets in the production system.
  • Orders of Repairs of Vehicles: Quotations are received from the branches within a specific province ± 65 branches. The branch will then be contacted to verify if it is accidental repairs or maintenance. If maintenance is required, the quote is then authorized by the Fleet Manager, and then an order is created in the Production system. The official order will be faxed to the branch. An invoice must then be received from either the supplier or the branch after the job has been completed. The invoice will then be processed, signed, and then sent to the Finance Department for payment.
  • Vehicle logbook capturing: Receive trip sheets from the branches (approximately 65 branches), check the Fleet system to see if it is updated correctly, check fuel slips and mileage, ensure that it is updated correctly, and manage each branch’s logbook reports.
  • Reporting on vehicles that are not moving: in repairs for longer than a week, waiting for parts ordered from other suppliers; vehicles that were in an accident; managing the progress of vehicles for approximately 65 branches.
  • Vehicle transfers: Transfer on Production system, fleet management, Avis, and Fuel Master; Hyper Auto, send an email to Stannic, and send an email to the responsible person in that region. Check and manage all vehicle transfers.
  • Work with AVN Factory: Maintenance of Funeral equipment, Ordering of Funeral equipment.
  • Buying of New Asset: Vehicle, Furniture & Funeral Equipment
  • Stannic Cards and Quotations: Ordering of lost or stolen cards, ordering cards for new vehicles, and ordering new cards that are damaged. Quotes are sent from Stannic to the Head of Department. A history must be printed for authorization purposes on the vehicle. All documents are given to the fleet management to be authorized. When the quote is authorized, it gets emailed back to Stannic to give the supplier an order number to go ahead with the work.
  • Other Duties: Ordering stationery, checking monthly rentals, and making payments for the new tracker unit that was installed in the new vehicle. Extra activity for the working environment is to provide training to staff if there is a need.
