Effective provision of Administration support

  • Generate SAP requisitions and ensure that purchase requisitions, order numbers and tax invoices are processed using SAP to ensure that Vendors are paid in line with company policy and internal procedures and limit the number of open orders on SAP.
  • Establish and maintain an effective procurement system with associated tracking of delivery and processing of related documents to ensure compliance with current finance records.
  • Compile monthly report diesel issues (diesel recon) and order diesel on time to ensure the nursery does not run out.
  • Ensure up to date training and licenses for legal compliance.
  • Capture salary attendance and ensure that its signed off by nursery manager and send to payroll on a monthly basis.
  • Liaise and co-ordinate training with HR training department and external service providers.
  • Keep control over office expenditure and stocks (hot beverages) for employees and keep strict control on issuing records.
  • Ensure office hygiene is kept to a required standard to enhance nursery image.
  • Ensure that catering requirements for meetings and staff functions are effectively handled.
  • Ensure that application of Phytosanitary certificate is done timeously to avoid delays in plant supply across the border.
  • Ensure all necessary paperwork is up to date for nursery private sales.
  • Drive the employee of the month campaign.
  • Log faults with suppliers (Telkom, IT service desk etc) and follow up on resolutions to ensure smooth running of the nursery office.

    Safety
  • Log all incidents, near misses and green cards on the Isometrix database and report to RMA.
  • Ensure that all PJO, checklist and risk assessment are captured on the relevant spreadsheets.
  • Attend safety meetings monthly and come up with systems to make the nursery a risk-free zone.
  • Order and issue yearly PPE and corporate clothing for employees in time.
  • Manage sanitation company conduct proper service twice a month and check scope of work before signing off.
  • Organise yearly fumigation for all nursery buildings.
  • Complete Rand Mutual Assurance (RMA) insurance claim forms after injuries in the nursery.
  • Compile and send man hour and breathalyser reports to Risk officer on a monthly basis
