Supervisor Duties:

  • To assist the Court Manager by Supervising the Stenographer Division of the High Court. Supervision and ongoing training of 29 Stenographers. Organising the recordings of 29 Court Rooms and 1 Control Room and the Circuit Courts throughout the term.
  • To ensure that all equipment based in the High Court is in working order.
  • to ensure that all equipment has been tested by 08:30 and repaired by 9:30 on a daily basis;
  • to ensure that all problems are logged in a fault report book to establish any patterns with any specific unit;
  • to ensure that a call is logged with the Help Desk should we need a support team to correct the error;
  • to ensure that Dimension Data has responded to any calls that have been logged with the Help Desk of matters that cannot be repaired in house.
  • to serve as support to the operators based in the Cape Town High Court and the various Circuit Courts that run throughout the term.
  • To ensure that an operator has been assigned to a court based on the court roll for the day. Ensure that the Child Court when needed runs smoothly.
  • to ensure that all matters on the court roll is logged in a court book (for record purposes);
  • to ensure that a operator is allocated to every court that has been booked for the day;
  • to monitor the progress of all court sittings, in order to determine the length of audio recorded for each court on a daily basis;

  • To ensure proper supervision of Operators, by monitoring quality of work, daily attendance and ensuring that all leave forms are maintained.

PERFORMANCE STANDARDS:

  • to ensure that Operators report to work by 08:00 on a daily basis and ensure that the attendance register is kept up to date;
  • to ensure that absenteeism is reported to HR and ensure that the correct forms are completed by the operators and authorised by the necessary parties with regard to any type of leave requested;
  • to ensure that a high level of quality control is kept on a daily basis to minimise the loss of audio and to maintain a high standard of recordings;
  • to ensure that the performance agreements are drawn up and to assess the staff quarterly;
  • attending to disciplinary process in respect of leave or conduct;
  • Training of all new operators on the court recording equipment (internally and externally). Ensuring the continuous training of operators as the system is upgraded, so that one keeps up with the technological changes taking place;
  • To ensure that all administration work, audio and filing is kept up to date.
  • to ensure that all operators administration work pertaining to their court cases is kept up to date;
  • to ensure that all audio is accessible by ensuring that audio is backing up to the server and backup cd’s are made on a daily basis;

PERFORMANCE STANDARDS:

  • to ensure that the J33 request has been completed correctly by the various divisions and approved and to check that the copies that have been requested are for the Department only and not for parties carrying their own costs;
  • to ensure that the relevant audio is cut and sent to the transcription company;
  • to ensure that the work that has been requested is returned within the correct time constraints and filtered through to the various divisions;
  • to ensure that the transcription company is aware of any J33 request that has been requested on a urgent basis;
  • to check and verify the correctness of all invoices billed to the Department by the transcription company and to ensure that work that has being billed has been received;
  • liaise with the transcription company regarding attorney requests and ensure that the audio required is cut to cd, logged in a filing book and filtered through to the transcription company.
